What to prepare when a business invoice is unpaid
Before submitting an overdue invoice, check that the balance and evidence tell one clear and consistent story.
Submission checklist
- The invoice identifies the correct customer and matches the agreed order or contract.
- The payment due date has passed and the balance accounts for all credits and payments.
- You have evidence that the goods or services were supplied or completed.
- Your statement of account matches the amount being requested.
- Copies of reminders, emails, letters and debtor replies are saved together.
- Any complaint, counterclaim or dispute is recorded clearly and honestly.
- The debtor's current business name, address, contact details and location are known where possible.
- The file contains no unnecessary personal or sensitive information.
If information is missing
Do not guess or alter documents. Note what is unavailable and provide the strongest original records you have. The initial assessment can identify whether more information is needed.
